How to Request a Child Support Payment Ledger: A Practical Records Checklist

PRACTICAL CHECKLIST • UPDATED OCTOBER 2026 • GENERAL U.S. INFORMATION

If you believe a child-support balance is wrong, the strongest starting point is often a complete, dated transaction history—not a general accusation. The purpose of a payment ledger is to show what the agency says was charged, received, distributed, credited or adjusted.

01 First: identify the order and deadline

Use the most recent signed support order, any modification order, and the account identifiers shown in official notices. Check pending hearing or appeal dates before writing a records request. A records request does not automatically postpone a deadline.

02 Ask for the transaction details you need

Request an itemized payment history covering the relevant dates. Ask for the date and type of each charge, current support due, arrears, credits, fees, interest where applicable, adjustments, employer remittances, payment method and distribution information. Ask what procedure applies if the agency cannot provide a particular item.

03 Build a comparison table

For every disputed transaction, record the agency entry date, entry amount, what your document shows, the supporting exhibit and the exact correction or explanation requested. Employer payroll records, bank statements, payment confirmation numbers and past ledgers can help explain differences.

04 Request the formal review process

If informal contact does not resolve the discrepancy, ask for the agency complaint or administrative review procedure and any filing deadlines. The existence and scope of a review mechanism depend on the jurisdiction and kind of case.

05 Preserve proof of delivery and response

Keep a copy of each request and each response. Record how and when your request was submitted, who received it, and follow-up dates. Use secure channels for Social Security numbers, birth dates and identifying financial information.

Bring these five items together

  • Latest court or administrative support order
  • All modification and enforcement notices
  • Payment receipts and employer payroll records
  • Agency transaction ledger with full date range
  • One-page discrepancy log and copies of communications
Legal note: Federal regulation 45 C.F.R. § 303.35 requires state IV-D programs to have an administrative complaint procedure for certain case-handling issues. It is not a universal appeal that automatically reverses a support order. Read the source: 45 C.F.R. § 303.35.
